Every PowerPoint keyboard shortcut used in the practice above, listed in full. Each row shows the Windows and Mac keys plus a short explanation of what the shortcut does. Find one you want to learn, then drill it above until your fingers remember it.

Basic operations

Action Windows Mac What it does
copy Ctrl+C +C Copies the selected shape, text, or object to the clipboard. The original stays untouched, so use it whenever you want to duplicate the same element elsewhere on the slide or in another slide.
Cut out Ctrl+X +X Moves the selected object to the clipboard and removes it from its original spot. Since you can paste the cut content elsewhere, use this when you want to relocate an element.
paste Ctrl+V +V Pastes whatever was copied or cut to the clipboard at the current position. It's the finishing step you pair with copy or cut to duplicate or relocate an element.
Undo the last operation Ctrl+Z +Z Cancels the most recent action and reverts to the previous state. Use it when you make an editing mistake or want to compare against how things looked before the change.
Repeat the operation Ctrl+Y +Y Repeats the last action you performed, or redoes an action you just undid. It's handy when you want to apply the same formatting to another element.
Open file Ctrl+O +O Opens the dialog for opening a saved PowerPoint file. Use it when you want to resume earlier work or reference another presentation.
save Ctrl+S +S Saves the presentation you're currently editing under its existing file name. It's good practice to run it frequently at natural breakpoints so you don't lose your work.
Print Ctrl+P +P Opens the print settings screen for the current presentation. Use it when you want to choose the number of copies and layout (such as handout format) and print your slides.
Save as Ctrl+Shift+S ++S Saves the presentation you're editing as a new file, under a different name or location than the original. Use it when you want to keep the original file intact while creating a copy, or when you want to keep different versions separately.
Cancel various commands Esc Esc Cancels whatever menu, dialog, or slideshow is currently active and returns you to the normal editing screen. It's a general-purpose escape hatch for closing a menu you opened by mistake, among other situations.

Special operations

Action Windows Mac What it does
Copy format only. Ctrl+Shift+C ++C Copies only the formatting (font, color, size, etc.) of the selected text or object, without copying the content itself. Use it when you want to apply the same look to a different element to keep the design consistent.
Paste only the format. Ctrl+Shift+V ++V Applies the formatting copied with "Copy format only" to a different, currently selected text or object. It carries over just the look — font, color, size, and so on — from the source.
Select format and paste Ctrl+Alt+V ++V Opens a dialog that lets you choose the format when pasting clipboard content — for example, as an image or as plain text. Use it when a regular paste would break a table or chart's layout and you need to paste it in a specific format instead.
Select an object (when selecting text inside an object) Esc Esc Switches from text-editing mode inside a text box (or similar object) to selecting the object itself. Use it once you've finished typing and want to reposition or resize the object instead.
Select all objects Ctrl+A +A Selects every shape, text box, image, and other object on the current slide at once. Use it when you want to move, resize, or format them all together.
Group selected objects Ctrl+G ++G Groups the currently selected multiple objects into a single unit. Once grouped, you can move or resize all of them together as one.
Ungroup selected objects Ctrl+Shift+G +++G Breaks a grouped set of objects back apart into its individual elements. Use it when you need to edit or move just one piece of the group on its own.
Duplicate selected objects Ctrl+D +D Creates a copy of the selected object in nearly the same location. It combines copy and paste into a single action, making it handy for quickly producing similar elements.
Add hyperlink Ctrl+K +K Opens the dialog for adding a link to a web page, another file, or a different slide on the selected text or object. Use it to let viewers jump directly to a reference or related page.

Dialog boxes

Action Windows Mac What it does
Opens the Search dialog box. Ctrl+F +F Opens the Search dialog box for finding text within your slides. Use it when you want to quickly locate which slide contains a specific word or phrase.
Opens the Replace dialog box. Ctrl+H +H Opens the Replace dialog box, which lets you swap a searched string for another one in bulk. It's convenient when you need to fix inconsistent wording or typos across multiple slides at once.

Text formatting

Action Windows Mac What it does
Increase font size Ctrl+Shift+> ++. Increases the font size of the selected text one step at a time. It lets you adjust the size quickly while watching the result, without having to type an exact number each time.
Reduce font size Ctrl+Shift+< ++, Decreases the font size of the selected text one step at a time. It's often used to fine-tune text that doesn't quite fit within a slide or placeholder.
Underline Ctrl+U +U Underlines the selected text. Use it as a simple way to make an important keyword stand out.
Make italic Ctrl+I +I Makes the selected text italic. Use it to emphasize a phrase or to visually set off a quotation or foreign-language phrase.
Center paragraph Ctrl+E +E Centers the selected paragraph horizontally within the slide or text box. Use it for titles, headings, or any text you want balanced in the middle.
Justify paragraph Ctrl+J +J Automatically adjusts character spacing so both edges of the selected paragraph's lines line up neatly. Use it to tidy up the look of body text that spans multiple lines.
Align paragraph to left Ctrl+L +L Aligns the selected paragraph to the left edge. It's the most standard alignment for many languages and the basic formatting choice for readable body text.
Right-align paragraph Ctrl+R +R Aligns the selected paragraph to the right edge. Use it for text you deliberately want pushed to the right, such as a date or a signature line.

Navigation

Action Windows Mac What it does
Move to the beginning or left of a word Ctrl+ + Moves the cursor to the start of the current word, or to the start of the word to the left. It's faster than moving character by character with a plain arrow key, useful when editing text word by word.
Move one word to the right Ctrl+ + Moves the cursor to the end of the current word, or to the start of the word to the right. Use it to advance the cursor quickly word by word.
Move to end of line End + Moves the cursor to the end of the current line. Use it when you need to add or edit text right at the end of a line.
Move to beginning of line Home + Moves the cursor to the beginning of the current line. Use it when you need to add text at the start of a line, or as a starting point before selecting the whole line.
Move to beginning of paragraph or up one paragraph Ctrl+ + Moves the cursor to the start of the current paragraph, or up to the start of the previous paragraph if it's already there. Use it to jump quickly between paragraphs in a long block of text.
Move down one paragraph Ctrl+ + Moves the cursor to the start of the paragraph below. Use it to move quickly downward through a long text, paragraph by paragraph.
Move to beginning of text object Ctrl+Home + Moves the cursor to the very beginning of the text box you're editing. Use it when you need to check or edit the opening part of a long block of text.
Move to end of text object Ctrl+End + Moves the cursor to the very end of the text box you're editing. Use it when you want to add text at the very end of a long block.
